About this policy
Anchor Point IMT ("we," "us") is an online set of incident management tools at anchorpointimt.com, owned and operated by Richard Trevino. This policy explains what information we collect, how we use it, who we share it with, and the choices you have. It covers the website, its tools, the public check-in, dashboard and guest pages, the Anchor Point IMT app, and any emails or text messages we send.
Anchor Point IMT is used by incident management teams, agencies and their personnel. Much of the information in the tools is entered by a team for its own incident work. That team decides what to collect and who on the team can see it; we store and process it to run the service for them.
Information we collect
We collect only what the tools need to work. What we hold about you depends on how you use the site.
- Account: name, username, email address, password (stored only as a one-way hash), team memberships, tool access levels and Terms of Use acceptance. From you or your team admin.
- Team access requests: team name, your name, contact email or phone, and any note you add.
- Incident check-in: name, agency, employee or SAP number, email, phone, position, location, start and end times, pay type, and answers to your agency's check-in questions. From you (QR self check-in) or a team recorder.
- Incident alerts: who an alert went to, delivery status, whether it was opened, and your "I'm OK" or "I need help" answer and note.
- Text message consent: your mobile number, the date, time and method of your opt-in, and any STOP or HELP replies.
- Incident plans and forms: names and positions on ICS forms, and point-of-contact names and phone numbers for equipment. From your team.
- Labor cost: employee numbers, names, pay rates and cost centers, if your team uploads them.
- Guest access: display name, optional PIN (stored as a hash) and access end date.
- Technical: IP address, browser type, sign-in times, pages and tools opened, and actions taken. Collected automatically.
Cookies and browser storage. We use cookies only to keep you signed in and remember which team you are working in. Some tools save drafts or settings in your browser. We do not use advertising or tracking cookies, and we do not use third-party analytics.
How we use information
We use information only to run and protect the service:
- Provide the tools: build incident plans and forms, track check-ins, equipment and labor costs, and show team dashboards.
- Send service messages: welcome and password-reset emails, check-in and check-out confirmations, and incident alerts.
- Manage accounts and access: sign-in, team membership, guest passes and tool permissions.
- Keep the site secure: rate limits, preventing misuse, and an activity log of sign-ins and tool use kept for 90 days.
- Respond to your questions and requests.
We do not use your information for advertising, and we do not sell it.
Text messages (SMS)
We send text messages only to people who opt in, and we never share your mobile number or opt-in for marketing.
How you opt in. You can choose to receive texts when you check in to an incident with its QR code, or when you join with a guest pass. Opting in is a separate, unchecked "Incident notifications by text" box that you tick yourself, and you enter your own mobile number. We keep a record of when and where you opted in and the wording you agreed to. Giving a phone number is never required to use the tools, and texts are not a condition of anything.
What we send. Incident notifications about the incident you are checked in to or assigned to: a confirmation when you check in, with a link to check out when you leave, and alerts such as severe weather, evacuation, shelter-in-place, road closures, safety notices and all-clear messages, with a link to confirm you are OK. We do not send marketing or promotional texts.
Frequency and cost. Message frequency varies with incident activity. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.
Opting out and help. Reply STOP to any message to stop all texts from us; we will send one message confirming you are unsubscribed. Reply HELP for help, or email [email protected]. You can also ask your team admin to stop texts to your number.
Your mobile information stays private. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except the text message service providers that deliver our messages. Those providers may use it only to send our messages.
How we share information
We do not sell, rent or trade personal information. We share it only in these cases:
- Within your team. People on your team see incident information according to the access their team admin gives them. Pay rates and names in the labor cost tool are limited to staff your team approves. Dashboard links your team creates show only the fields the team chooses.
- Service providers. Companies that run the service for us: Cloudflare (hosting, database and email sending), our email delivery service, and our text message provider. They may use the information only to provide that service.
- Legal reasons. When required by law, subpoena or court order, or to protect someone's safety.
- Business transfer. If the service is transferred to a new owner, this policy continues to apply to information already collected.
All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, excluding aggregators and providers of the text message services.
How long we keep information
We keep account and incident information for as long as your team uses the service, or until the team or you ask us to delete it. The activity log is kept for 90 days. Guest accounts and guest passes are deleted 90 days after they end. Text message opt-out requests are kept so we continue to honor them.
Security
The site runs over encrypted HTTPS. Passwords and PINs are stored only as one-way hashes. Every page, file and tool requires sign-in and approval for that tool, and password-reset links expire. No system is perfectly secure, so please keep your password private and tell us if you suspect misuse.
Your choices
- Update your name or email on your account page.
- Stop texts by replying STOP, and stop optional emails using the link in them or by contacting us.
- Ask us for a copy of your information, or to correct or delete it. If the information belongs to a team's incident records, we may refer you to that team.
Children
Anchor Point IMT is for incident management professionals and is not intended for anyone under 18. We do not knowingly collect information from children.
Changes to this policy
We may update this policy. We will post the new version here with a new effective date, and tell signed-in users about important changes.
